There are certain tasks that must be completed when operating a payroll system. Pay for each employee must be recorded, and any deductions such as tax and National Insurance Contributions (NICs) must be calculated. HMRC will also need to be paid the relevant tax and NICs.

Your in-house accounts team can prepare payroll, or you can use a payroll accountant to perform the service on your behalf. Many people choose this option because it ensures all calculations are made accurately by a professional.

The responsibility for payroll depends on the size of the company. Many businesses have an HR or accounts department with employees that are responsible for payroll, but in smaller organisations, the senior management or directors may be responsible. Ultimately, the responsibility for paying employees on time lies with the business, whether they outsource payroll to an accountant or not.

Yes – all employees must be included on payroll, whatever their earnings. Their hourly pay and salary, plus any overtime, bonuses or commissions must be recorded, as well as maternity pay.

Payroll is a vital part of any business. It’s the process by which employees are paid, and covers the recording of payments to employees and the payment of taxes to HMRC. It’s key to ensure this is done correctly to avoid penalties.

Your Full Payment Submission (FPS) should be sent to HMRC on or before your employees’ payday. If sent late, you could incur a penalty from HMRC. Failure to pay your employees on time could mean a breach of contract, for which they could sue. By investing in payroll services, you can ensure that employees will always be paid on time, and that your FPS is submitted on time.

You can run payroll within your business, but using a payroll accountant can save time and effort. Your accountant can set up the relevant, HMRC-compliant software, calculate payments and deductions that are due, and ensure all payments are made on time.

PAYE can be set up by yourself. To do this you would need to register as an employer with HMRC and get a login for PAYE Online. You’ll then need to choose a compliant payroll software, and collect and record employee details, pay and deductions. These must then be reported to HMRC on or before each payday. Any tax and NICs that you owe will need to be paid too.

Many businesses find that although PAYE can be done in-house, it’s more convenient to employ an accountant to provide payroll and employee tax services.

Payroll is calculated by determining gross pay, then deducting any taxes and National Insurance Contributions (NICs) that need to be made. If the employee is paying off a student loan, a deduction for this will need to be made too. Since the calculations for each employee need to be completely accurate, many businesses choose to use a payroll accountant to make the calculations on their behalf.
